Rules for accessing and using the CTMS mobile app and Cylinder Tracking ERP.

Please read these terms
By accessing or using CTMS, you confirm that you are authorised by the customer organisation and agree to these Terms of Use. The customer’s signed order form or agreement may contain additional commercial terms and will apply together with these terms.
1. Definitions
- CTMS or Software: The Cylinder Tracking Management System, including its web platform, mobile application and enabled modules.
- Company: The provider and operator of CTMS.
- Customer or Client: The organisation that purchases or is authorised to evaluate CTMS.
- User: An employee, contractor or other person authorised by the Customer to use CTMS.
- Order Form: The quotation, order, subscription document or agreement that records the selected licence, services, charges and special terms.
- Customer Data: Information entered, uploaded, scanned or generated through the Customer’s use of CTMS.
2. Licence and access
The Company provides the Customer with a limited, non-exclusive, non-transferable right to access and use CTMS during the agreed licence term. CTMS is normally provided as a hosted service. The licence does not transfer ownership of the Software, source code or hosting infrastructure.
The modules, user limits, locations, hardware, implementation services and licence period are those stated in the applicable Order Form. Additional requirements or customisation must be agreed in writing and may involve extra charges.
3. Accounts and authorised users
- Users must provide accurate information and use only the account assigned to them.
- Passwords and access codes must be kept confidential and must not be shared.
- The Customer is responsible for assigning suitable roles and removing access when a user no longer requires it.
- Any suspected unauthorised access, lost device or compromised password must be reported promptly.
- Activity completed through an authorised account may be treated as activity of the Customer unless misuse was reported without delay.
4. Permitted use
CTMS may be used only for the Customer’s lawful business operations and within the purchased configuration. Users must follow applicable safety, tax, employment, privacy, gas-industry and regulatory requirements.
Users must not misuse CTMS, attempt unauthorised access, upload harmful code, interfere with service operation, copy or resell the Software, bypass access controls, or use the service for fraudulent or illegal activity.
5. Customer responsibilities
- Confirm business requirements, workflows, masters and report formats during implementation.
- Provide timely information, decisions and feedback needed for setup and support.
- Check opening balances, cylinder records, customer records and other imported information.
- Review reports, invoices, rental calculations and operational results before relying on them.
- Train users in safe cylinder handling and correct use of the configured process.
- Maintain suitable devices, internet access, browser versions, scanners and third-party subscriptions.
- Keep appropriate independent records and exports according to business and legal needs.
6. Mobile devices and permissions
The mobile app requires a compatible device and may need camera, Bluetooth, nearby-device, location, file or notification permissions for selected functions. Users must keep the device operating system and CTMS app reasonably current.
The Customer is responsible for device security, screen locks, authorised installation and data charges. Feature availability may depend on hardware quality, network availability and the purchased CTMS configuration.
7. Customer Data
The Customer is responsible for the accuracy, legality and authorised collection of Customer Data. The Customer grants the Company permission to host, process, back up and transmit that data only as needed to provide, protect and support CTMS.
The Company will apply reasonable security practices. However, the Customer must manage users, passwords, internal access and misuse. Data exports may be requested subject to the agreement, technical availability and any applicable charges.
8. QR codes, barcodes and RFID
- Each identity label or tag must be assigned to the correct cylinder and verified during registration.
- Recommended QR scanning distance is generally 10–15 cm, but results depend on the camera, lighting, label condition and device.
- Labels and tags must be kept clean and protected from scratching, bending, heat, impact and abrasive materials.
- Unless an Order Form states otherwise, damaged, lost or non-functional QR plates are not covered by a replacement warranty.
- Users must confirm cylinder identity before submitting a movement. A scan record does not replace legally required physical inspection or safe handling.
- RFID performance depends on tag type, reader, attachment, distance, surrounding materials and site conditions.
9. Fees, taxes and payment
Licence, setup, customisation, hardware, travel, training and support charges are governed by the applicable quotation or Order Form. Payments must be made within the agreed period through the approved payment method. Taxes and deductions apply as stated in the commercial documents and applicable law.
Onsite visits, travel, boarding, lodging, visa costs and additional manpower are charged separately unless expressly included in writing.
10. Trial, cancellation and refund
The Company follows a no cancellation and no refund policy. A service may be offered on a trial basis only when separate trial terms are specifically provided for that service.
After a successful subscription, the service continues for the term and in the manner stated in the applicable service terms or Order Form.
In exceptional cases, management may consider a refund individually. The Customer must provide any documents or information requested for that review. Approval remains at management’s sole discretion. An approved refund will carry no interest, may include approved deductions and will be processed within seven working days after approval.
11. Inspection and acceptance
The Customer must inspect and test the required functions before purchasing or activating the licence. A paid trial or extended evaluation may be requested from the CTMS Sales Team and is subject to separate terms, availability and charges.
After licence activation, the Customer accepts the configured Software for use subject to agreed implementation items and support obligations.
12. Support, maintenance and training
Support scope, period and charges are stated in the quotation or Order Form. Standard support covers assistance and fixes for existing functions; new development, changed requirements, data correction, onsite work or custom reports may be charged separately.
Unless agreed otherwise, standard support is available Monday to Friday, 9:30 AM to 6:00 PM on working days, excluding public holidays. The initial training allowance and any additional sessions are governed by the Order Form or current support policy.
13. Third-party services
CTMS may connect with Tally, email, SMS, WhatsApp, payment services, government systems, application programming interfaces and cloud providers. These services are controlled by third parties and may have separate fees, terms, privacy rules and availability.
The Company is not responsible for outages, policy changes, rejected messages, changed interfaces or other failures caused by a third-party service.
14. Confidentiality
Each party must protect the other party’s non-public business, technical, pricing and customer information and use it only for the agreed purpose. Users must not share screenshots, recordings, demonstrations, reports or feature details with unauthorised persons.
Confidentiality does not apply to information that is public without breach, already lawfully known, independently developed, properly received from another source or required to be disclosed by law.
15. Intellectual property
CTMS, its source code, design, workflows, documentation, trademarks and other intellectual property remain the property of the Company or its licensors. No source code is provided.
Users must not copy, modify, decompile, reverse engineer, reproduce, distribute, rent, sublicense or create competing material from CTMS except where applicable law does not allow that restriction.
16. Service changes and availability
The Company may release updates, security fixes and operational changes. Planned or emergency maintenance, internet conditions, device problems, third-party failures or events beyond reasonable control may affect availability.
The Company may change or retire a feature when reasonably necessary and will provide suitable notice when the change materially affects normal use, where practicable.
17. Suspension and termination
Access may be suspended for non-payment, misuse, security risk, legal requirements or a serious breach of these terms. Suspension does not cancel unpaid obligations.
The licence ends when the applicable Order Form expires or is terminated. On termination, the Customer must stop using CTMS. Subject to the agreement and payment of outstanding amounts, the Customer may request available data within seven days. After that period, the Company is not responsible for continued storage or recovery unless law or a written agreement requires otherwise.
18. Disclaimer and limitation of liability
CTMS supports business operations but does not replace professional judgement, physical verification, statutory inspection, cylinder-safety procedures or regulatory compliance. The Customer remains responsible for validating all business figures, alerts and outcomes.
To the extent permitted by law, the Company is not liable for indirect, incidental, special or consequential loss, lost profit, business interruption or loss caused by misuse, incorrect data, unauthorised access, third-party services or circumstances beyond reasonable control. Any liability that cannot legally be excluded is limited as stated in the applicable agreement.
19. Governing law and disputes
These terms are governed by the laws of India. The parties will first try to resolve a dispute through good-faith discussion. If unresolved within 30 days, it may be referred to binding arbitration under the Arbitration and Conciliation Act, 1996 and its amendments.
Arbitration will be conducted in English by one mutually agreed arbitrator and held in Pune, Maharashtra. Courts in Pune will have exclusive jurisdiction for matters relating to an award or where court action is legally permitted.
20. Changes to these terms
The Company may update these Terms of Use when services, policies or laws change. Updates may be communicated through the app, email or another suitable channel. Continued use after the effective date means the updated terms apply, subject to applicable law and the Customer’s signed agreement.
